General Instructions for Passport Related Services

Jurisdiction
The Consulate General of India, São Paulo renders passport related services only to Indian citizens residing within its consular jurisdiction, which comprises the following States of Brazil:

  • São Paulo

  • Rio de Janeiro

  • Paraná

  • Santa Catarina

  • Rio Grande do Sul

Applicants residing in other States of Brazil are required to apply at the Embassy of India, Brasília

Mandatory Pre-Submission Requirements

Applicants are advised to ensure that prior to submission of the application (either in person or by post) at the Consulate, they have mandatorily uploaded the following on the Passport Seva portal:

  • ICAO-compliant colour photograph

  • Signature

  • All supporting documents, including:

    • Passport copy (front and last page)

    • Indian address proof 

    • English translations of documents issued in Portuguese or any other foreign language

Applications with incomplete uploads or documentation are liable to be rejected.

Working Hours for Passport Services

Monday to Friday, except holidays(No prior appointment is required)

Submission of applications (in person): 0930 – 1200 hrs

Collection of documents/ passport (in person): 1500 – 1600 hrs

Guidelines for Filling Passport Related Applications

  • Passport related applications must be filled online through the Passport Seva Portal.

  • If you do not have an account, click on “Register Now”, select Country: Brazil – São Paulo, and complete the registration process.

  • If you already have an account, please login using your credentials.

  • Complete all sections of the application carefully. Ensure that all personal details match your existing passport records and supporting documents.

  • Upload a clear photograph as per ICAO specifications (white background, front-facing, no shadows, no uniforms or patterned backgrounds).

  • Applicants must sign in the designated signature box (at the end of the application). Signature/thumb impression must match the one uploaded online.

  • After successful submission, an Application Reference Number (ARN) will be generated. This must be quoted in all future correspondence.

  • Ensure that all required supporting documents are uploaded online and also submitted physically. Documents in Portuguese or any other language must be accompanied by an English translation.

  • Before printing, verify that the photograph and signature have been successfully uploaded. If not, re-upload and then proceed.

  • Use a compatible browser (such as Chrome or Edge) while filling and printing the application to avoid technical issues.

  • Incomplete or incorrect applications are liable to be rejected. No requests for reconsideration will be entertained.

Fee payment

  • Passport applications must be accompanied by the applicable passport services feeICWF charges (R$12) and courier (SEDEX) charges (R$70 only if opting for return delivery by post).

  • All fees should be paid in advance through bank transfer or cash deposit into the Consulate’s designated bank accounts.

  • Please note that separate bank accounts are maintained for the passport fee and ICWF charges. Applicants must ensure that each fee is credited to the correct account only. Incorrect payments may lead to delays in processing. The account details are as under:

Important:

  • Proof of payment (receipt/transfer confirmation) must be submitted along with the application.

  • All fees are non-refundable, irrespective of the outcome of the application.

Submission of Applications


Printed and signed application form, with one photograph (2 x 2 inches), along with all required documents, must be submitted in person or by post at the Consulate.

Applicants sending by post should include:

  • Printed and signed application form

  • Current original passport (only in case of passport reissue and surrender certificate)

  • Supporting documents

  • Proof of fee payment (as per Passport Fee section on this website)

  • Self-addressed SEDEX envelope (if opting for postal return)

Additional Instructions for Submission by Post (Courier)

Applicants may submit passport related applications by post. For return of the passport through SEDEX, an additional R$ 70 must be submitted, along with a self-addressed envelope and a signed authorization letter permitting return by SEDEX.
